For most UK small businesses, Zapier is the easiest to start with, Make is the best value for multi-step workflows, and n8n is the most powerful and cheapest at scale if you have technical help. The right automation tool depends on how complex your workflows are, how much you want to self-host, and how far you plan to grow. Here is an honest comparison, with pricing and the point at which each one starts to hurt.

I use all three in real client work, so this is not a spec sheet read off marketing pages. It is what actually happens when you run these tools day to day, where they shine, and where they quietly start costing you more than they should.

The short version is that there is no single best answer. There is a best answer for your situation, and it usually comes down to three questions: how complex are your workflows, do you have or want technical help, and how much are you going to scale. Get those clear and the choice makes itself.

n8n in depth

n8n is the most powerful of the three and the cheapest at scale, with one catch: it rewards technical confidence. It is a proper workflow automation platform with fine-grained control, native AI nodes, and the option to self-host for free.

The pricing is where it separates from the pack. The self-hosted Community Edition is free software with unlimited executions. You pay only for the server, which can be a few pounds a month on a small VPS. Cloud plans start at around $24 a month for 2,500 executions, rising to $60 a month for 10,000. Crucially, n8n charges per workflow execution, not per action step, so a complex workflow with twenty steps still counts as one execution. For high-volume, multi-step automation, that pricing model is transformative.

Where it hurts: the learning curve is real, and self-hosting means you own the maintenance, updates and security. When I build for clients on n8n, that is the value I add. They get the power and the low running cost without having to become server administrators. For a non-technical owner going it alone, n8n can be a lot.

Make in depth

Make sits in the middle and is often the best value for money. It is visual, flexible and handles multi-step workflows far more cheaply than Zapier, without the technical overhead of self-hosting n8n.

Make's pricing starts with a free tier of 1,000 credits a month, then Core at $9 a month for 10,000 credits, Pro at $16, and Teams at $29. Note that in August 2025 Make moved from counting "operations" to counting "credits," and AI features can consume credits at a different rate from standard steps. Read the fine print if AI-heavy workflows are your plan.

Where it hurts: at very high volume, credit consumption climbs, and complex scenarios can get fiddly to debug. But for a small business running genuine multi-step automations who does not want to touch a server, Make is frequently the sweet spot. It gives you most of the power for a fraction of Zapier's cost.

Zapier in depth

Zapier is the easiest to start with, full stop. If you have never automated anything, you can build a working Zap in minutes with almost no learning curve. It connects to more apps than anyone and the experience is polished.

You pay for that simplicity. Zapier's pricing offers a free tier of 100 tasks a month, then Professional from $19.99 a month billed annually for 750 tasks, with Team from $69. The key thing to understand is the pricing model: Zapier charges per task, and each successful action step counts as a task. A five-step Zap uses five tasks every time it runs. That adds up fast.

Where it hurts: cost at scale and cost on multi-step workflows. A workflow that is trivial on Make or n8n can burn through your Zapier task quota quickly, because every step is metered. Zapier is excellent for simple, low-to-moderate volume automations where speed of setup matters more than cost per run. Push it into complex, high-frequency territory and the bill grows faster than the value.

Which to pick by scenario

  • You are non-technical and want quick wins: start with Zapier. Build a few simple automations, prove the value, then reassess as volume grows.
  • You run genuine multi-step workflows on a tight budget: Make is usually the best value. You get real capability without server admin.
  • You are scaling, cost-sensitive, and have or can hire technical help: n8n wins on both power and running cost. Self-hosted, it is close to unbeatable on price.
  • You are AI-heavy: all three do AI, but n8n gives you the most control, and Make gives you flexibility. Watch how each meters AI usage, because that is where costs surprise people.

Build it yourself when the workflow is simple, the stakes are low, and you have time to learn. Zapier and Make are genuinely accessible for a motivated owner, and getting your hands dirty is the best way to understand what is possible.

Bring someone in when any of these are true: the workflow touches sensitive data, it is business-critical, it needs to scale, or it involves n8n and self-hosting. The cost of a badly built automation is not the build time, it is the silent failure six weeks later when an order does not sync and nobody notices until a customer complains.
